Responsible to: Head of Property Accounts and Property Management Team Leader

Key Tasks

  • Managing a portfolio for multiple clients.Manage a small team of client accountants.
  • Assist with set up Clients, Properties, Units, Leases and Tenants/Debtors on TRAMPS.
  • Maintain lease information in TRAMPS (updates, reviews, ensures system records are current).
  • Carry out daily maintenance (rent increases, assignments and renewals).
  • Run housekeeping reports and update Head of Property Accounts of any issues.
  • Handle client statements and regular reporting to clients and internal stakeholders in line with reporting requirements.
  • Prepare Funding Requests if applicable.
  • Ad hoc reporting and projects to improve financial processes, efficiencies, controls.
  • Liaising and dealing with surveyors, client, supplier, tenant, auditors queries.
  • Prepare and monitor service charge budgets, forecasting and variance reporting; ensure service charge reconciliations are done accurately at year-end.
  • Reconcile cash receipts, bank accounts, and prepare pay overs to clients and landlords.
  • Assist with VAT returns/VAT reporting where required, including service charge VAT liabiliteis where properties are opted and client has void units.
  • Maintain master VAT Service Charge report and liaise with client for settlement of service charge VAT liability.
  • Support audits (internal/external) by preparing schedules, reconciliation work and responding to. 
  • Support and train junior staff members.
  • Assist Head of Property Accounts with any projects that need completing.
  • Assist Head of Property Accounts with day-to-day management of accounting team.
  • Assist with review and implementation of processes.

Experience & Qualifications

  • At least 3 years’ experience in property / client accounting, with hands-on experience in TRAMPS (or similar property management systems).
  • Strong understanding of service charge accounting: budgeting, reconciliation, apportionment.
  • Good knowledge of lease accounting: rent reviews, lease terms, renewals, terminations.
  • Competent with Microsoft Excel (intermediate to advanced: pivot tables, vlookups, formulae) and other MS Office tools.
  • Formal accounting qualification (e.g. AAT / ACCA / CIMA) is desirable, but not essential if experience is strong.
  • Excellent attention to detail and organisational skills; ability to meet deadlines with competing priorities.
  • Strong verbal & written communication skills; able to liaise with clients, tenants, property managers and auditors etc.

  • Be computer literate, with good Microsoft Excel & spreadsheet skills.
